DATA PRIVACY
This privacy policy is about how we use personal information about individuals, sole traders or partnerships. It doesn’t apply to the information we hold about companies or other organisations.
About this policy
HDAC Consulting are dedicated to providing a professional and cost effective personal service to all it’s clients and service that meets your needs, at the same time as protecting that privacy.
This policy explains how we’ll collect information about you and then use it to give you a good service. It also goes into the security measures we take to protect your privacy, and expands on a few things that we won’t do.
This statement is in addition to the requirements placed in our Quality Manual (Management, Health & Safety and The Environment) documents and supplementary “GDPR Explained – Your Personal Rights” documents.
What information we need to provide to you
When we first ask you for your personal information if you have not conducted business or been in touch with us before, we will provide you, in our first communication with you, either written information or links to written information regarding your legal rights (and the exemptions) regarding our use of your personal data.
As a sole trader our Data Controller and Processor are the same individual. Their contact details are the same as the business and they can be contacted using our Contact Us page
Our Terms & Conditions of Contract provide the basis of our dealings with you and certain types of personal data will be required in order for us to perform the task(s) you require and in order for us to provide the services you have instructed us to act on.

How we’ll use your information
We may use your information for a number of purposes explained in “GDPR Explained – Your Personal Rights”
These are only allowed if there is a legal basis for collection and processing of your personal information.
We may also monitor and record any communications we have with you, like phone conversations and emails. This is just to make sure we’re providing you with a good service, allowing us to provide a suitable audit trail and providing a full project record and meeting our regulatory and legal responsibilities.
These records, when the project or sale has been completed, will be held for a minimum of 10 years in order to comply with the requirements of our overarching accreditation and CPD schemes as well as HMRC in terms of tax compliance and provide us with sufficient accurate information about the project and any instructions or advice given for legal / insurance purposes. (This does not override your personal information rights.).
How we’ll get in touch
We’ll use the contact information you’ve given us when we need to get in touch. We'll contact you using the preferred method contact unless the matter is of some urgency where we will use all contact means.
Passing your information on
We may allow other people and organisations to use your personal information for two primary reasons:

Because you have agreed for us to do this (either by direct consent or by entering into a contract with us).

Exemptions – there are many exemptions some legal and regulatory and others to protect either yourself and / or HDAC Consulting from either legal / regulatory action or to provide for and allow the use of the information for further activity on a particular project with yourself at a later date.

You’re entitled to have a copy of the information we hold on you and you can have any inaccurate information corrected. In most cases this is free, however we are able to make a reasonable charge if the information is more difficult to access and collate.
